  • Entering payroll for normal employee work hours and drive time and passing only the work hours through to client invoices is not only important but confusing. The following question was submitted by a reader who pays from the start of the first job till the end of the last job of the day (not including lunch break). I have my employees fill out a time tracker sheet each day that shows the time started at the first job till the end, drive time in between jobs, so on and so forth. I enter this into QuickBooks but I can't figure out where to enter in drive time to pay the girls their hourly wage on payroll but to not invoice anyone for drive time.

  • An important QuickBooks Payroll System Maintenance Announcement - a system-wide upgrade will start at 6 p.m. on Thursday 5/24/2012 and continue through 5 a.m. on Tuesday 5/29/2012 - Direct Deposit will also be effected and don't forget that this is also the Memorial Day holiday weekend! QuickBooks Payroll will not process direct deposit checks dated for Monday, May 28, 2012 due to the Memorial Day holiday. In order for your employees to receive their paychecks before Monday, May 28, you should change your paycheck date to Friday, May 25 and send your payroll by 5pm PT on Wednesday, May 23.

  • Construction payroll can be complex and many business owners wonder if they should hire a payroll clerk and issue payroll in-house or if they should outsource it. As a contractor a significant portion of your job costs involve payroll and labor burden (payroll taxes, worker's compensation insurance, general liability insurance, company paid fringe benefits etc.) and you need to have these numbers included in your job costing reports so you can analyze your bidding practices and know whether or not you made a profit on the job. If your payroll is not run through your accounting software you loose this vital piece of job costing information.

With the start of the New Year, we've redesigned our website; moving it to a new version of Joomla, given it a face lift using a program called Artisteer, and added a new section for paid QuickBooks training {eBooks, live webinars, and pre-recorded webinars} all very moderately priced.

The Federal WH-347 Certified Payroll Reporting form expired on December 31, 2011 - so we updated our software to be compliant and released new versions of the forms {meeting the new requirements}.

On January 19, 2012 Nancy teamed up with Steve Kuzmack, President of Fringe Benefit Experts, to offer a seminar for the American Subcontractors Association {San Diego branch} on "Prevailing Wage Construction Projects and Your Company - Strategies for Making the Move to Public Works Construction Projects"

On January 25, 2012 Nancy was asked to do another live Certified Payroll Training webinar for The Contracting Post {this is in addition to the monthly How to Fulfill Your Certified Payroll Reporting Requirements webinar that you can sign up for right here on our website}.

Boy what a busy start to the year!  The Federal WH-347 form expired on December 31, 2011 but the U. S. Department of Labor didn't release a new form until the end of January.  While it initially appears that very little changed - the new OMB Number, a new expiration date of 1/31/2015 and the addition of a partial sentence on the Statement of Compliance pertaining to "and that no deductions have been made either directly or indirectly from the full wages earned by any person."

The instructions now say that Space has now been left at the bottom  of the columns so that totals may be shown if the contractor so desires.  While this may not seem like a big deal, it really is because:

  • the actual fillable .pdf version from the DOL website really doesn't have that "space" at the bottom for totals
  • there are no guidelines as to WHAT totals should appear

This means that WHAT totals should appear are left up to the desires of the person that you are submitting the report to - and the possibilities are endless, as you can well imagine!  We are working hard to get some clear guidance on HOW and WHAT totals are to appear.

Available immediately, is the new WH-347 form with the ability to add job totals (that should meet anyone's needs) and the change in wording to the Statement of Compliance.  Also available in this update is the ability to add Race, Gender and check numbers to the WH-347 {these items have been requested by existing customers}.

We've added the Florida Department of Transportation Certified Payroll Report - which also requires separate Deduction and Fringe Benefit Records.

The Ohio Schools Facilities Commission has their own Certified Payroll Report and we've added that as well.

We are also beginning to work on an electronic upload for the New York Department of Transportation's Equitable Business Opportunity (EBO) System and anticipate releasing that in March.
