QuickBooks Desktop 2018 Compatibility Available

Intuit has been releasing the newest versions of QuickBooks - Enterprise 18.0, Premier 2018, and Pro 2018 very quietly to users for little over a week.  Like the previous 2 years there has been no big public launch (like with previous versions) and ProAdvisors & Developers (like ourselves) have had little to no advance notice.  

Compatibility updates for our software programs are ready and this is what it means to you.

NOTE:  If  you are an existing QuickBooks user, I do NOT recommend that you upgrade right away - as usual, I highly advise that you wait until AFTER you have done your W-2's and final year end payroll functions, there are often problems and it is because no one can test year end functions until year end!  I am already seeing instances where end users are having installation issues.

Obtaining compatibility updates:

I guess we should explain why we release compatibility updates.

Each year when Intuit releases a new version of QuickBooks, we run it through thorough testing to make sure that our software works the way it always has - so that YOU don't get a rude surprise!  Once we know everything works correctly and/or we make some adjustments to our software due to some new feature that is introduced - THEN - we release the update. 

New Customers and Trial Users:

If you requested a trial or purchased the software since 9/22/2017 QuickBooks 2018 compatibility is built right into your trial.

IF you are an existing customer:

If you are an existing customer and you've download any of our software programs since 9/22/2017, then you have compatibility for 2018 built right in BUT you will need to follow Step 3 (for the correct program) AFTER you install any of the QuickBooks 2018 products.

How to obtain the update for Certified Payroll Solution & Construction Application for Payment Solution:

Step 1: Make a backup of your CPS or CAPS data!  Do not skip this step.  From the Backup & Restore menu --> chose Enhanced Backup --> click Backup.  (If you haven't set the program up to automatically backup -- you should do so NOW!)

Step 2:  From the Help menu within the program --> go to the Help menu --> choose About --> click the big "Login" button. Download and install the most current version.   This will need to be done on each computer that the software is installed on.

Step 3:  AFTER you have installed QuickBooks 2018 and the compatibility update for our software, the FIRST time you connect to QuickBooks you will need to do the following:

a).  Log into your QuickBooks file as the QuickBooks Administrator in SINGLE user mode.

b).  For CAPS.   Start the program.  Go to the System Setup menu --> choose Data Locations.  Delete the information in the 2nd box from the top and then click the Test QuickBooks Connection button.  QuickBooks "may" display a "permissions" window, if so, choose the "Login automatically" option, choose a user with sufficient permissions.  And you should be all set.

c)  For CPS.  Start the program.  Go the the System Setup menu --> choose System Preferences --> click on the Data Locations tab.  Delete the information in the 2nd box from the top and then click the Test QuickBooks Connection button.  QuickBooks "may" display a "permissions" window, if so, choose the "Login automatically" option, choose a user with sufficient permissions.  And you should be all set.

How to obtain the update for Crew Overtime Entry:

Step 1: Backup your Crew Overtime Entry data.  Do not skip this step.  Click the Overtime Setup button --> click the Backup icon --> click Backup.  (If you haven't set the program up to backup -- you should do so NOW!)

Step 2:  Log into your QuickBooks file as the QuickBooks Administrator in SINGLE user mode.

Step 4:  Start COES --> click the Overtime Setup button --> click the Licensing option in the left menu --> click on the link in the middle of this window where is says "Click here to download a new installation/updated program" --> follow the instructions on the pop up window --> a web page will display -->  Keep the web page open but minimized - go to Control Panel -> Programs & Features and uninstall the current COES program.  When the program has finished it's uninstall routine, maximize the web page --> click the Download Current COES Setup/Installation button --> choose to Save or Run the file --> follow the prompts --> enter the Administrator password for this computer --> click the finish button.  Your software has just been updated!

Step 5:  Click the Overtime Setup button --> click the QuickBooks setup option (left menu, last item) --> clear/delete the QuickBooks file location field/box --> click the Acquire date from QuickBooks for Setup & Preferences.   Click Ok.  If QuickBooks displays an Application Certificate window, we recommend that you select the LAST option "Yes, always; allow access even if QuickBooks is not running" and to select a "User" with sufficient permission to access information.  Click the Continue and then the Done button.  You are back in business.
