  • There is so much news and information floating around the web – it’s difficult (at best) to keep up! I’ve added a WordPress plug-in that grabs information from my Twitter stream to help me (and hopefully you as well) keep up with everything.   • Entering payroll for normal employee work hours and drive time and passing only the work hours through to client invoices is not only important but confusing. The following question was submitted by a reader who pays from the start of the first job till the end of the last job of the day (not including lunch break). I have my employees fill out a time tracker sheet each day that shows the time started at the first job till the end, drive time in between jobs, so on and so forth. I enter this into QuickBooks but I can't figure out where to enter in drive time to pay the girls their hourly wage on payroll but to not invoice anyone for drive time.

  • Can you deduct the cost of lost equipment from your employee’s pay? As a business owner I'm betting that on more than one occasion you have had an employee who has lost his company provided cell phone more than once and you've have to replace it. Perhaps you want to recover the cost of the phone via a payroll deduction - before you do, read the rest of this article, because the answer depends first on state and federal restrictions and second on how much you want to deduct.

  • An important QuickBooks Payroll System Maintenance Announcement - a system-wide upgrade will start at 6 p.m. on Thursday 5/24/2012 and continue through 5 a.m. on Tuesday 5/29/2012 - Direct Deposit will also be effected and don't forget that this is also the Memorial Day holiday weekend! QuickBooks Payroll will not process direct deposit checks dated for Monday, May 28, 2012 due to the Memorial Day holiday. In order for your employees to receive their paychecks before Monday, May 28, you should change your paycheck date to Friday, May 25 and send your payroll by 5pm PT on Wednesday, May 23.

Question:

In addition to needing to charge a fixed percentage (6%) of Sales Tax to each cusomer, I am also required to charge a 1 1/2% Discretionary Tax on the first $5000.00 of each invoice.  How do I accomplish this using QuickBooks?

Answer:

For the most part, QuickBooks does a good job of tracking taxable and non-taxable sales -- even taxable and non-taxable items on the same invoice.  However, when it comes to tracking sales tax with a fixed rate on a fixed dollar amount of an entire sale ---- in addition to sales tax on the entire sale --- well it fails miserably and causes a lot of frustration for QuickBooks Users who encounter a situation of this nature.

The end of one year/the beginning of the next year is about more than just getting ready to file your taxes, issue W-2's, and prepare year end payroll tax returns--even though those are important items.

I recommend two key tips that will reduce the time and frustration of reconciling banks statements. This solution is based on the principle that we want the bank reconciliation window to match exactly what appears on the bank statement, and that data should be input accordingly. If you buy services or product from your customer – or if your vendors buy services or products from you, you might want to “trade” services instead of paying each other.  Exchanging “credits” with each other is a good way to offset your cash flow without actually exchanging money.  You will, however, need to add a few new records to QuickBooks and do a few “special” transactions to make sure that all of your reports come out accurately.

While QuickBooks does an excellent job of tracking Sales Tax, even when you have to collect Sales Tax from multiple jurisdictions, it does not automatically calculate Use Tax for you - - - but it is possible to track Use Tax using these instructions.

QuickBooks provides you with a powerful tool within your Item List, which is often under used, the Group Item.

Creating and using Group Items will allow you to quickly and easily enter several items at a time on Estimates, Invoices, Purchase Orders; reduce the risk of "leaving something out" when you are creating an Estimate; and best of all, allows you to bridge the difference in units of measure to buy and sell products or materials.

In Quickbooks Pro. Premier, and Enterprise you can set up items so that a single item can track both Income and Expenses.  This means that you can use the item on Purchase Order, Bills, or Checks to cost information to an Expense or Cost of Goods Sold Account; and then use the same item on Estimates and  Invoices to send revenue to an Income Account.
